The theme of the day

At some point, something in your process wasn’t working right, or didn’t exist yet, and you built a fix for it. A manual step you added, a different tool you started using, a system assembled from a few separate pieces because the right solution wasn’t available or didn’t arrive in time. At the time it was clearly temporary. You said to yourself, explicitly or implicitly: we’ll replace this when there’s a better option.

You didn’t replace it. You kept using it, it kept working well enough, and now it isn’t temporary anymore. It’s what people depend on. It’s the thing other things run through. You’ve gotten quite good at maintaining it while occasionally, in a quiet moment, wondering why you’re still the one maintaining it.

The problem with a workaround that becomes permanent is that it wasn’t built for permanence. It has gaps that a properly designed system wouldn’t. Those gaps have probably been showing up in small ways: a step that anyone other than you finds confusing, something that fails under conditions you’ve learned to anticipate and work around, a task you can’t easily hand off because the instructions would take longer to write than the task itself.

The money lens

If the workaround lives in your revenue process, think specifically: invoicing, time tracking, client onboarding, anything that touches the actual flow of payment or work requests. The gaps in that kind of system cost real time every week. You’ve learned to route around them, but routing around them is labor, and that labor adds up.

The question isn’t always “rebuild from scratch.” Sometimes the more useful question is: what one gap, if closed, would make this sustainable for another year without resentment? Starting with that single fix is often more realistic than a full overhaul, and it might actually get done.

What to notice today

Notice which parts of your process today you’re running on autopilot in a way that would be genuinely difficult to explain to someone else. Steps that exist entirely in your memory. Instructions that are undocumented because you’ve done the thing enough times to not need them. That’s usually where the workaround lives.
