You put a system in place for a reason. A checklist, a workflow, a particular sequence of steps, a review process, a filing structure. At the time, it solved a real problem. It brought order to something that had been chaotic, or caught errors that had been slipping through, or made a recurring task more predictable. The system worked. The problem was addressed.

What tends to happen, over time, is that the original problem either evolves or resolves, and the system continues to run past the conditions that made it necessary. This is not a failure of the system. It is the natural outcome of a good system doing its job so well that the original problem is no longer the source of friction. Virgo tends to be good at building systems and somewhat slower to question whether the system is still the right fit for the current situation.

The sign of a process that has outgrown its problem is usually this: the maintenance of the process itself has become the overhead. More effort goes into running the system than into the underlying work the system was meant to support. Or the system catches things that are no longer actually at risk. Or the steps that were critical at an earlier stage are now redundant given the maturity of the work.

The money lens

Professionally, this pattern often surfaces as meeting cadences that were set up during a crisis period, or reporting structures that made sense when the team was new, or review processes that were warranted when the error rate was high and are now running at full intensity against an error rate that has dropped. The process costs time, and time is money, and both should be deployed toward the actual current need rather than the resolved past one.

A useful question: if you were setting this process up for the first time today, knowing what you know now, would you build it the same way?

What to notice today

Notice where you feel mild irritation at maintaining a system rather than performing the work the system supports. That irritation tends to be a signal that the system has taken on weight that is no longer justified by its purpose.

Also notice if you are reluctant to change the system even when you suspect it has outgrown its problem, because the system represents past effort and past good judgment. The reluctance to update is different from the judgment to keep it.
